NotePhones System
NotePhones system is a mobile application that will track and remind members of meeting events before they occur,display detailed meeting schedules and minutes
Currently the managing of tasks, agenda formation and minutes is performed by hand and paper.During every meeting the secretary of the meeting records
minutes by hand, types it up and sends it to the participants for correction and to see which tasks were allocated to them.The documentation of
this system’s processes depends mainly on the secretary.Whether the participants have carried out their task will only be known at the next meeting. (Mahangu, 2010)
This project embarks on developing the software that will manage minutes on mobile tablets other than on paper.

As a variety of ICT4D devices becomes pervasive, easy access to minutes of meetings can help work groups better
communicate ideas and information.To explore this idea further, interviews were carried out to find out how members of a work and
research group share these meeting notes. It became apparent that introducing a mobile-based system in which members will have
access to minutes and other ancillary data without the need for the internet and a computer would be valuable.
Computers, cell phones and instant messaging are integral parts of our lives today.Hence the idea to design NotePhones, a
minutes-sharing system with a lightweight process, an interface, and hardware that distinguish it from previous systems.
This minute sharing application has been designed to run on even inexpensive windows cell phones and other personal digital devices.
It is hoped that the experience with using NotePhones will facilitate and promote the sharing of minutes for various groups like
meetings, conferences and classes.
